How to see your bookings in Google, Apple or Outlook Calendar

Turn on a calendar link for a location and its bookings appear in Google Calendar, Apple Calendar or Outlook, next to your own events.

Each location can have its own calendar link. Subscribe to it in Google Calendar, Apple Calendar or Outlook, and the location's bookings show up next to your own events, on your phone and computer. New bookings, changes and cancellations follow automatically.

The calendar integration is available on the Business plan and with an Access Pass. You need to be a business admin to turn it on.

Go to Integrations and click Configure on the Calendar card. In the Show bookings tab, turn on the location you want. WaitQ creates its calendar link.

2. Add it to your calendar

Click the button for your calendar app:

  • Google opens Google Calendar and asks you to add the calendar.
  • Apple opens the Calendar app on your Mac, iPhone or iPad.
  • Outlook opens Outlook on the web.

For any other calendar app, click Copy link and add it as a calendar subscription ("From URL" or "Subscribe to calendar", depending on the app).

What the calendar shows

  • The location's bookings from 30 days ago to a year ahead, with the guest's name, party size, booking list and services, and a link to open the location in WaitQ. A very busy location shows its next 3,000 upcoming bookings and the 500 most recent past ones; later bookings appear as earlier ones go by.
  • Pending bookings and no-shows are marked in the title, so you can spot them at a glance.
  • Cancelled and declined bookings drop out of the calendar.

The calendar never shows guests' phone numbers, emails or notes.

Calendar apps decide how often they check for changes, so updates can take a while to appear. Google Calendar can take up to a day. Use WaitQ itself for the live view of the day.

Share it with your team

Anyone with the link can see the location's bookings, so share it only with your team. The dialog shows when a calendar last checked the link.

To stop sharing, turn the location off. The link stops working straight away, and calendars subscribed to it stop updating. Turning it on again creates a new link, which you need to add again.

To stop new bookings while you're busy in your own calendar, see How to block bookings when your calendar is busy.
