How to create and configure a guest list

Set up an invited-guest list, party sizes, form fields, services, capacity, and visit duration.

Use a guest list when you know who is expected and staff will confirm arrivals from an invited list. Use a queue instead when customers need to join and wait for service.

1. Create the guest list

Open the location and choose Create list → Create guest list. Enter a clear name, select the location, and add optional start and end dates when the list belongs to a scheduled event.

Set Total capacity when the event has a fixed live headcount. Leave it blank when you do not need a capacity warning.

2. Configure party size and form fields

Open Form fields. Name is always collected. Turn on Party size when one named guest may arrive with other people, then set the minimum, maximum, and whether it is mandatory. Party size includes the named guest.

Enable phone, email, notes, or custom fields only when staff will use them. Turning a field off hides it from new entry forms but does not erase values already saved on existing guests.

3. Set the default visit duration

In Details, set Default visit duration between 5 and 720 minutes. WaitQ uses this duration to estimate location occupancy after a guest is marked Showed when no services are selected. The default is 60 minutes.

The duration does not automatically change the guest's status or remove the guest from the event totals when it ends.

4. Add services when duration varies

Turn on Services in Optional when guests may attend activities with different durations. Choose the available services and the maximum number a guest may select.

When a showed guest has selected services, their combined service duration is used for location occupancy instead of the guest list's default visit duration.

5. Save and test the list

Save the guest list, add a test party, and mark it Showed. Confirm that the live headcount uses the complete party size, the configured fields are visible to staff, and the location occupancy behaves as expected.
