How to import and manage guest-list entries

Import attendees, track parties and people, choose visible fields, and record arrivals and no-shows.

You can add guests individually or import a CSV or Excel file. A guest-list row represents one invited party; Party size records how many people are in that party.

1. Prepare and import the file

Open the guest list, select More → Add guests in bulk, and download the template when you need an example. The required column is name. Optional columns include party_size, email, phone, category, tags, and notes.

party_size must be a whole number from 1 to 1,000 and must also fit the minimum and maximum configured for that guest list. Review invalid rows before importing. WaitQ skips duplicate guests reported by the import instead of silently adding them twice.

2. Add or correct an individual party

Select Add guest to enter a party manually. Use Find an existing customer when the person already exists in your customer records. Open an entry to correct its contact details, party size, category, tags, notes, services, or custom fields.

3. Choose the fields staff need

Use Fields beside search to choose the standard and custom fields shown in the table. The entire field row can be selected. Keep identity and door-check information visible; hide details that slow down scanning during a busy arrival period.

4. Record arrivals and no-shows

Use Check in to mark an arriving party Showed. Use No-show only when the party did not attend. If several confirmed parties remain after entry closes, Mark remaining as no-show shows both the number of parties and the number of people before you confirm.

5. Read totals and export

The live headcount adds party sizes, not just rows. A party of four contributes four people. Status filters still count parties, so compare the party and people labels before acting on a total.

Select Export CSV to download the current guest-list records, including party size and supported custom fields. Store exports securely because they can contain personal information.
